It is important to master the skill of leading meetings effectively to drive desired outcomes. Meetings provide an opportunity to discuss important issues, share ideas, and make decisions that can impact the organization's success. Leading a meeting can be a daunting task, but with some planning and preparation, it can be a rewarding experience that achieves the desired outcomes. Here are some tips for leading meetings effectively:


1. Prepare an Agenda:

An agenda is a critical tool for ensuring that the meeting stays on track and achieves its objectives. It outlines the topics to be discussed, the time allotted for each topic, and the desired outcomes.


You can include the agenda as part of your meeting invite so that the participants can forward the invite to any other members of the team who might be required in the meeting. Distributing the agenda to participants ahead of time ensures that everyone is prepared and knows what to expect. Some might chose to reject the meeting invite if their presence isn't required. This small act shows respects for the participants time.


2. Start on Time:

Starting the meeting on time shows respect for everyone's time and sets the tone for a productive meeting. It also helps to ensure that the meeting stays on track and doesn't run over time. This also means that you should setup your devices correctly and check in advance for any technical issues.


Pro-Tip:

Open all the pages that you may require during the meeting in the order of the requirement. When we go looking for documents and slide decks after the meeting has started we have wasted valuable time and the attendees/participants start to lose interest.



3. Facilitate Discussion:

As the meeting leader, it is your job to facilitate discussion and ensure that everyone has an opportunity to share their ideas and opinions. This involves asking open-ended questions, paraphrasing and summarizing points, and encouraging participation from all attendees.


Pro-Tip:

Most of us are visual learners rather than auditory learner. Make sure that you use a some visuals while you talk. As a supply chain functional consultant, I learnt to use a spreadsheet to gather requirements. The representation of requirements gathered on a spreadsheet always made it easier for the entire team to work together and encourage participation from the entire team.


4. Summarize Key Points:

Summarizing key points throughout the meeting helps to ensure that everyone is on the same page and that the meeting is progressing towards its desired outcomes. It also helps to identify any areas of disagreement or misunderstanding, which can then be addressed.


5. Assign Action Items:

At the end of the meeting, assign action items to individuals or teams, and set deadlines for completion. This helps to ensure that everyone is clear on what needs to be done and by when, and helps to keep the momentum going after the meeting has ended.


Sending out minutes of meeting with summarized key points and action items keeps all the participants on the same page.
